Personal productivity has become fundamental in the lives of successful people, our time is limited and what better than knowing how to manage this valuable asset. Many people still think that it is almost impossible to do many tasks, but this method will help us to make that possible.

The author tells us that with this method we can withstand high degrees of pressure, since the objective here is to know how to organize yourself in the day, but not to get stressed with too many things and not knowing what to start with. This method is abbreviated with the acronym "GTD: Gettingthing where" and has 5 steps, which he explains through the following example: if one day you have to prepare a meeting room for some partners, first detect the things that are not in place (capture), then look at the things that are left over and those that are missing (clarify), then put all the necessary tools to carry out the meeting and get rid of those that are not useful (organize), then check that you have all the documents and presentations to explain and analyze them taking into account what you will express (reflect) and finally attend the meeting (act).

This is one of the most effective methods if you want to be well organized.the problem is that people use their brains as agendas and organization methods, if a new idea occurs to them they keep it there waiting for it to remember it at the exact moment to be able to do it, however, it is proven that using our brain as a list or agenda limits our potential when it comes to concentrate since our mind is not strictly designed to be a reminder, but to generate ideas.

The 5 steps of the method to organize yourself effectively are:

1) Capture:

The best thing to do is to write down everything that goes through your mind in an agenda, notebook,... That is, we must extract what is in our mind, because if we do not do so, we will be less effective.

2) Clarify:

Once we have compiled all our issues and pending issues, we will ask the following questions: what does this issue that is in my inbox mean? Does it require any specific action? What is the next action?

For this we will use the following scheme: Subject ->What is it? action required?


3) Organize:

The author does not advise having seven different inboxes:

-Tray 1: Someday/maybe list: you will put all the things you want to do in the future, but that are not a priority now.

- Tray 2: List of reference material: you will put all those important references to be able to consult them in the future.

- Tray 3: Waiting list: issues that we have and that we should be keeping track of.

- Tray 4: The actions calendar: there will be actions scheduled for a specific day and time.

- Tray 5: List of next actions: you will write down the actions that you will carry out as soon as you can (calls, messages, pending, etc.).

- Tray 6: Projects.

- Tray 7 Checklist or Checklist: it will help us to guide some process (for example: the things we will need for a next trip, shopping list for the supermarket, ...).

4) Reflect:

We will update and check that everything is in order. It is important that at the end of the week you review and reflect if it is helping you, the things that you can discard or what you have to add. It will help you to remain effective and efficient.

5) Act: You have to review these four aspects:

Context: you will see what tools you cannot find to be able to perform a task.
Time available: you will see if you have time to do an activity and you will do the activity that best suits the time available.


Available energy: the energy that you have, because you will not, for example, do weight training at eleven o'clock at night when you are almost about to sleep, since you would not perform at your best.
Priority: if you have a very important exam the next day, for example, that day you will not play video games all day.


Remember: there is no such thing as a lack of time, there is a lack of interest, because when people really want it, early morning becomes day, Tuesday becomes Saturday, and a moment becomes an opportunity.

 

I have also been before in the place that you are now. When I started my dream of starting my own Medical Clinic and was the CEO, I didn't know how to fulfill my responsibilities at work and be present at home with my family at the same time. However, after making changes in my productivity, goal setting, and leadership, I was able to move my company forward through an economic downturn in which the country was immersed and obtain positive results; and all while getting home in time to have dinner with my family each night.
